Who are we?

We are Circle Technologies Ltd, trading as Moot. We're registered in England and Wales under company number 13206759. Our registered office is at International House, 24 Holborn Viaduct, London, United Kingdom, EC1A 2BN.

Moot is a multiplayer workspace designed for growing remote teams. Here we're creating a privacy policy that’s clear and easy to read. If you have any questions, or things you think we could improve, please let us know by email at james@moot.app.

Scope

This Privacy Policy will help you understand how we collect, use and share your personal information and assist you in exercising the privacy rights available to you. It applies to personal information processed by us in our business, including on our websites (e.g. moot.app, trymoot.com, usemoot.com, mootbrowser.com, ihateremotework.com, and any other websites that we own or operate).

By using our Services, you agree to be bound by this Privacy Policy. If you don’t agree to this Privacy Policy, do not use the Services. In accessing and using the Services on behalf of a company (such as your employer) or other entity, legal or otherwise, you represent and warrant that you have the authority to bind that company or other legal entity to this Privacy Policy. In that case, “you” and “your” will refer to that company or other legal entity.

How do we use your information?

  • When you create an account. When you create an Account, we will collect the personal information you provide to us, such as your name, email address, personal website, and picture.

  • When you buy or subscribe to paid Moot services. We may sell services or merchandise through our Services. When you make purchase we may use services such as Stripe to process your payments. These third-party applications may collect certain financial information from you to process a payment on behalf of Moot, including your name, email address, mailing address, payment card information, and other billing information. Moot does not store or receive your payment information, but it may store and receive information associated with your payment information (e.g., your billing details).

  • When you contact us. We collect personal information from you such as email address or mailing address when you request information about our Services, register for our newsletter, or otherwise communicate with us (such as when booking a demo).

  • When you reply to a Moot job opportunity. We may post job openings and opportunities for Moot. If you reply to one of these postings, we will collect and process the information you provide to us to assess your suitability, aptitude, skills, and qualifications for employment.

  • When you use a Moot service. We collect information you provide to the Services for the purpose of providing the Services to you, which may include personal information.

  • Customer Service, Training and Quality Assurance. If you call or otherwise interact with Moot's sales, customer service or support personnel, we may collect the information you provide to our representatives. In addition, we may record telephone calls or video conferences between you and our representatives for training or quality assurance purposes.

  • Technical information when you use Moot. We building Moot to be fast, secure, and reliable. We also need to understand how you and others use Moot, so that we can improve the service and develop new product features. For these reasons, we’ll collect information on how you use Moot. This includes technical information such as your IP address, browser information, and MAC address. Where possible, we take steps and precautions (such as removing information that may identify you) before we access and process this information.

Information Collected Automatically

  • When you use the service. We may collect certain information automatically when you use the Services. This information may include your Internet protocol (IP) address, user settings, MAC address, cookie identifiers, mobile advertising and other unique identifiers, details about your browser, operating system or device, location information (inferred based off of your IP address), Internet service provider, pages that you visit before, during and after using the Services, information about the links you click, and information about how you interact with and use the Services.

    We may use a visitor’s IP address to fight spam, malware and identity theft. With your permission, we may also collect information about your operating system’s installed fonts in connection with providing the Services to you. Combined with other system information, this information could be used to give your computer a unique fingerprint/signature and enable us to track your usage of our Services after you log out.

  • Analytics. We may also use Google Analytics and other service providers to collect and process analytics information on our Services. You can opt out of Google Analytics’ collection and processing of data generated by your use of our website by going to http://tools.google.com/dlpage/gaoptout.

  • Cookies, Pixel Tags/Web Beacons, and Analytics Information. We, as well as third parties that may provide content, or other functionality on the Services, may use cookies, pixel tags, local storage, and other technologies to automatically collect information through Moot. Technologies are essentially small data files placed on your device that allow us and our partners to record certain pieces of information whenever you visit or interact with our Services, and are commonplace throughout the web.

Who do we share your data with?

    • People you interact with on Moot. When you interact with other users on Moot, such as those you share an organisation with, we'll share your personal information with them, such as your profile photo and name, so that they can see who you are and your current status. We do this under our legitimate interests to make sure that Moot works well, and to make sure that we can meet you and your companies reasonable expectations for a workplace product.

    • Business partners, suppliers, engineers and subcontractors. Simply so that we can provide you the Moot service, and so that we can meet our contractual obligations.

    • Regulators & Authorities, Whenever we’re approached by law enforcement and we're required to share your personal information to meet our legal obligations, we’ll always protect your personal information by making sure that everybody follows due process.

Where is my information stored?

We store your information in the United Kingdom, and the European Union, and wherever our third party partners are operating from.

How long do we keep your information?

We’ll keep your personal information for as long as your account is linked to your operating organisation. We may keep your information for longer if we need to for legal, regulatory, or accounting reasons.

Sometimes, before deleting your personal information, we'll anonymise it so that we can no longer tell it's you. We can keep hold of this anonymised information indefinitely without letting you know. We'll use this anonymised information to keep track of how people have used Moot in the past.
